Dear St. Paul Hermitage Families,

 

Rain and thunderstorms are predicted throughout the day tomorrow.  If it is raining or storming, we will not be able to have outdoor family visitation.  Please plan accordingly.  We are not able to move outdoor visits inside due to Marion Counties visitation restrictions.  We continue to see the number of cases of COVID 19 increase in Marion County.  We are still under strict visitation restrictions.  I know this is disappointing.  We have ordered our new iPads.  They are set to arrive mid-August.  Once they arrive, we will begin to offer virtual visits again.  

 

This evening I was notified that one of our staff members has had a direct exposure to COVID 19.  That individual is symptomatic.  Our Unit Manager tested them this evening.  They are an indirect caregiver who works in both the residential and health care areas.  They worked today.  Following ISDH and CDC recommendations, we will not do further testing until we have a known positive.  In consultation with Dr. Hurley we do not need to quarantine until we have the test results back.  However, he suggests, and I concur the we close communal dining until we have more information. We will continue with the infection control practices that we have in place.  May we continue to pray for an end to this pandemic and for continued good health.  I know this is hard news to receive, let us hold one another in prayer.

Dear St. Paul Hermitage Families,

 

Today it rained throughout the day which was good for the earth but not for outdoor activities.  With the patio empty, our beauty shop had a full day of individual appointments.  We are grateful that we can get everyone trimmed up and feeling more like themselves.  It is amazing how a new hairdo can make us feel.  

 

Our community ended its Chapter meetings today.  Our final day of chapter is always special as we close with our Missioning Service.  During this time of prayer, we receive our ministry assignment.  Today’s Missioning Service was beautiful.  I am grateful for the ministries of all our sisters.  It is through our monastic work that we share God’s hope and love with the world.  I am grateful to be missioned to St. Paul Hermitage and to serve as administrator.  I pray that as we continue to journey through this time of pandemic and uncertainty, God will use me to be an instrument of light, hope, and love as I lead our St. Paul Hermitage community.  Know of my deep love, prayers and gratitude for the residents, family, and staff of St. Paul Hermitage.

Dear St. Paul Hermitage Families,

 

This week has been great not only has the beauty shop been open for a few days now, the weather has been beautiful.  We are grateful to be able to spend time together in God’s creation. 

 

 

Our community is gathering this week for our annual meetings.  It is wonderful to be together for sacred conversation, prayer, work, and fun.  Our community is committed to praying for a vaccine and an end to the current pandemic.  Each day we will remember the Hoosier lives that have been lost to the pandemic.  At the end of Evening Prayer, we will toll the bells to remember those who have died that day.  As we toll the bells, it is a reminder to pray for all those who died from COVID 19 and their loved ones.  Join us in our prayer for an end to this pandemic.

Today our beauty shop reopened.  We had over thirty calls between 7:56 am – 8:15 am.  It kept us on our toes for sure. We are excited to offer this service once again. We will continue to have you sign up by calling Janet even once we get through this first week.  To schedule an appointment with the beautician please call 317-786-2261 ex.248.  We ask that you call between the hours of 8:00 am- 4:30 pm.  We look forward to a full week of beauty shop services and to see everyone back to their pre-quarantine styles.

Dear St. Paul Hermitage Families,

 

I have good news to share.  We will be reopening our beauty shop on Monday July 27, 2020.  Beauty Shop hours will be 8:00 am- 5:00 pm Monday- Friday.  We have set days for Residential Residents and Health Center Residents.  Health Center Residents will be able to visit the beauty shop Monday, Wednesday, and Friday.  Residential Residents can schedule appointments for Tuesday and Thursday.  This Monday we will begin cutting hair for our male residents in health care.  Janet or I will call you if your loved one fits in this category to verify that you would like this service.  All other residents and family members can schedule appointments for beauty shop services beginning Monday.  We ask that you call between the hours of 8:00 am- 4:30 pm.  To schedule an appointment with the beautician please call 317-786-2261 ex.248.  Janet will set up your appointment time.  We are looking forward to everyone getting their quarantine hairstyles trimmed up.  Our beauty shop is a favorite activity.  We are delighted to reopen the beauty shop.

Dear St. Paul Hermitage Families,

 

Today was a beautiful day for outdoor family visits.  It is cooler than last weekend, which made visiting a little more comfortable.  Your loved ones really enjoy the time they get to spend with you during outdoor visitation.  

 

I wanted to remind you of the guidelines for family visitation.  

 

1.     You must sign up by noon the day prior to your visit.  We will not be able to let you stay for a visit if you have not signed up in advance.  

2.     Each Resident may only have two visitors per assigned patio time. Please do not bring extra people.  We will not be able to accommodate a third person as we must have six feet between each person on our patio.  We have space for twenty residents with two guests.  

3.     Residents, staff, and visitors will be required to wear a face mask.  Please bring your own face mask. We are trying to preserve our PPE for resident care.  It is now a statewide mandate so you should have your own mask to bring with you.

4.     Visiting areas will be set up with six feet in between each visitor and resident.  Staff will be assigned to monitor to ensure that social distancing practices are followed throughout the visit.

5.     We are asking that family members bring their own lawn chairs to use while they are visiting.  We will disinfect the resident’s chairs in between each visit.

6.     All visitors will be screened for fever, cough, sore throat, and shortness of breath prior to beginning their visitation.  If any symptoms are present, visitation will not be allowed.

7.     You can sign up for each week beginning on Sunday.

Today was another beautiful summer day.  Our residents enjoyed patio time, window visits and outdoor family visits.  We are grateful for the opportunity to be able to enjoy the sunny weather. 

 

We currently have had no residents ill with COVID 19 and no residents who are symptomatic at this time.   Our current COVID 19 status is that we have had no COVID 19 positive residents.  We have had nine COVID positive employees.  All have recovered and have returned to work.  We have had no COVID 19 related hospitalizations or deaths for both employees and residents. Let us pray for continued healing for our caregivers.

Dear St. Paul Hermitage Families,

 

We continue to have outdoor family visitation Tuesday-Sunday.  Our residents enjoy these visits very much.  The guidance continues to be that our main form of visitation should remain outdoors.  The only indoor visitation that we are providing currently is Hospice or End of Life visitation.  Thank you for continuing to visit and for following the current guidelines that help to keep your loved ones safe and healthy.

 

We will not be able to offer facetime for the next couple of weeks.  We returned the iPads to Holy Name as they will be back in school soon.  I applied for and we are receiving a grant to purchase our own iPads.  The grant money will be coming to us in the next two weeks.  We will be purchasing our own iPads.  I will let you know when we are able to do facetime again.  Thank you for your understanding in this matter.

Dear St. Paul Hermitage Families,

 

Today our Health Center Residents are enjoying outdoor visitation with loved ones.  It was a nice hot summer day.  We are grateful that you can visit with us.

 

We are working on plans to reopen the beauty shop.  We are looking to reopen it again in the next few weeks.  I will send out more details about setting up appointments and guidelines in the next couple of weeks.

Dear St. Paul Hermitage Families,

 

I wanted to give you an update regarding staffing.  As the country continues to go through both a nursing shortage and a pandemic, our leadership team has continued to investigate ways to help overcome the current barriers to continue to provide quality staffing levels and excellent care.  I have mentioned in previous letters that we have trained administration staff to become Personal Care Attendants.  As we continue to try new ways to meet our staffing needs at this time, our leadership team has decided to move from a three shift eight-hour model of staffing to a two shift 12-hour staffing model.  This model works well in hospitals and long-term care facilities as it allows more flexibility in scheduling staff.  We will begin this new model of staffing on Monday July 20, 2020.

We continue to work toward the reopening of our Health Care Center dining room.  One of the requirements to begin communal dining is that we meet with all residents who are able reeducate them on symptoms of Covid 19, Social distancing and mask wearing.  Our Infection Preventionist will provide this training.  I just received approval of our plan for reopening the Health Care Center dining room.  We will be able to return to dining in the Health Center on Monday July 27, 2020. I will be sending our guidance and schedule later next week.

Our residential dining room is now officially open.  Our residential residents enjoyed eating together. We are grateful to be able to share meals together again.

Dear St. Paul Hermitage Families,

 

Today the weather was perfect for outside family visitation.  Our residential residents enjoyed spending time with their loved ones.  We look forward to another week full of visitation.  

 

Tomorrow we will reopen our residential dining room.  We are looking forward to having them gather again for meals.  Our residential residents are excited about it as well.  Things will look at little different.  All of tables are set up six feet apart.  Only two residents will eat together so that we can practice social distancing.  Let us pray for a smooth transition with reopening residential dining services.

Last evening was a hard night for our St. Paul Hermitage Community.  We lost two Health Center Residents in one night.  Let us hold the families of Joan Sylvester and Warner Wiley in our prayers as they celebrate the lives of their loved ones and grieve their loss.  It is always difficult on our staff when one of our residents has a celestial discharge.  Please hold our staff in prayer as we grieve this loss.

Dear St. Paul Hermitage Families,

 

Today was a beautiful day for outdoor family visits during our afternoon hours.  It is cooler than last weekend, which made visiting a little more comfortable.  Your loved ones really enjoy the time they get to spend with you during outdoor visitation.  Thank you for coming to visit no matter what the temperature is outside.

 

Unfortunately, we had to cancel our evening outdoor visitation due to a pop-up storm that included hail.  Despite our staff’s effort to run out to take down the canopies and close the umbrellas, the canopies were destroyed in the storm.  If you have an extra yard umbrella or canopy that are not using anymore, please let me know.  We want to make sure our patio area is well shaded.

 

Scattered showers are predicted for tomorrow.  If you are scheduled for a visit, please keep a close watch on the weather. 

 

We are looking forward to reopening residential dining on Monday.  We will still be providing all three meals to our residents on our third floor.  Due to the pandemic, we are unable to have residents go to the grocery store.  We will continue to provide meals to our independent residents on third floor until that restriction is lifted.

Dear St. Paul Hermitage Families,

 

We continue to work on our plans for reopening the residential dining room. Joan Lutgring, Infection Preventionist, Phyllis Comado, Residential Nurse, and I met with all our residential residents today.  We reviewed with them the signs and symptoms of COVID 19, the importance of social distancing and wearing mask, and we reviewed new practices that will be going into effect in the coming week.  We instructed them regarding common meals, which will begin again on Monday.  We have tables set up to allow for social distancing.  We are excited about reopening our communal dining in residential.

 

Our current COVID 19 status is that we have had no COVID 19 positive residents.  We have had nine COVID positive employees. All our staff are recovered and have returned to work.  We have had no COVID 19 related hospitalizations or deaths for both employees and residents.

 

The Benedictine sisters are celebrating the Feast of St. Benedict tomorrow.  I will be spending the day at the monastery with my community. Dear St. Paul Hermitage Families,

 

Today our Health Center Residents enjoyed outdoor family visitation.  It was warm, but they enjoyed spending time with you.  At this time, most of our visitation will take place outdoors.  Marion County is still not able to have indoor visitation.  The only exception to this current guidance is for residents receiving hospice or end of life care.  I am attaching our policy for hospice visitation. On Monday July 13, we will begin opening visitation for families whose loved ones are receiving hospice services.  

 

Tomorrow we will meet with our residents who live in residential regarding dining services.  Today we set up the residential dining room to meet the new COVID 19 dining guidance from ISDH.  We will open communal dining for our residentials residents on Monday July 13.

 

We have had a set back in opening our Beauty Shop.  I have not heard back from our beautician.  We will not be able to open the beauty shop on Monday.  I will continue to work towards getting our beauty shop open as soon as possible.

Dear St. Paul Hermitage Families,

 

Today Health Care Residents had a chance to visit with their families outside. High temps and sunshine predicted for tomorrow.  Dress appropriately for the weather if you are coming to Residential Family Visitation.  Don’t forget your sunscreen and your mask. Also, remember to remain hydrated.  It is amazing what a little water can do!  We will have a hydration cart available if you need something to drink.  We look forward to this week full of visitation.  Each of you are an important part of our community.  It is so good to see you enjoying some time with your loved ones.

 

Since we are having 4-6 hours of visitation Tuesdays- Sundays, we are no longer able to offer as many virtual call opportunities.  We will only be doing virtual calls on Wednesday’s and Friday’s from 9:00 am -12:00 pm.  Our family visitation time takes many staff members to make it run smoothly.  We do need our activity staff here in the afternoon and evening hours.

Today we did our deep clean of our patio area to help prepare for this week’s outdoor family visitation You are all doing a great job keeping a social distance and wearing your masks through your visits with your loved ones. It is hard to believe that we must do this, but I am so thankful for the wonderful attitude you have had through it all.  It is strange to wear a mask outside.  Thank you for each of your role in following our visitation policy.  It helps us to help keep our residents safe.  As you know, the weather is predicted to be in the 90’s with possible storm.  Please plan accordingly. If it is raining, visitation will be canceled.

Today, I have been working on our beauty shop policy.  I hope to get it out to you in the next couple of days.  It will be a joyful day when we reopen the beauty shop.  Some of us are beginning to have some wild quarantine hair.  One of the residential residents asked if we could do a before and after shot as a reminder of this time in our lives.  I appreciate you loved ones continued joyful attitudes during this pandemic.

Dear St. Paul Hermitage Families,

Temperatures in the low to mid-90’s are predicted all week.  There is usually a breeze on the patio, so we hope you will still join us for patio time.  There are potential thunderstorms throughout the week.  We will be watching the weather closely.  If it is storming or if a storm is looming, we will have to cancel. I ask that you keep an eye on the weather as well.  Let us pray that the storms come before or after our family outdoor visitation.

Please pray for our community tomorrow as we celebrate the life of Sr. Mary Gilbert Schipp.  Sr. Mary Gilbert spent many years serving at St. Paul Hermitage.  She served as both Bookkeeper  and Administrator.  I am grateful for her gifts of leadership, compassion, and her love of learning.  She was a wisdom figure in our community.  I am grateful for her beautiful example of living the monastic life well.  All of our sisters who serve at St. Paul Hermitage, will be out tomorrow afternoon for Sr. Mary Gilbert’s funeral.

Dear St. Paul Hermitage Families,

 

Happy Fourth of July!!!  Our neighbors are having quite the firework display.  Many of our residential residents are enjoying the view from their apartment windows and a few from the library.  This afternoon our Health Care residents enjoyed outdoor family visitation.  However, this evening our final visitation hour was rained out.  I am grateful for our staff who quickly got our residents back inside before it started pouring.  This was a good reminder that storms can pop up even when it looks beautiful.  Please know that if it is raining, we will have to cancel outdoor visitation.   I also want to remind you that everyone needs to sign up for visits in advance.  We are asking that you sign up by noon the day before.  This helps us to plan, set up and coordinate with staff.

Dear St. Paul Hermitage Families,

 

We look forward to celebrating the Fourth of July with Health Care family visitors.  The weather is predicted to be in the 90’s.  Below are some reminders for enjoying the outdoors during the summer heat.

 

 Stay Well hydrated — Try to drink 8 or more 8-ounce glasses of water each day and avoid, or minimize, caffeinated beverages.  We will provide hydration stations to help keep everyone hydrated.

 

Dress for The Weather — Try to wear clothing that is made of breathable fabrics like cotton, in more of a loose fit and in light colors that will help reflect the sun.  

 

 Sit in the Shade- We have put up tents and umbrellas to help provide shade.  Please select a shady area for your visit. We also have umbrellas that attach to chairs if you are unable to find a spot in the shade.

 

 Wear Sunscreen — Whenever you are outdoors be sure to protect your skin with sunscreen with an SPF of at least 30.  We have sunscreen available if you need some.

 

 

Watch for signs of Overheating- flushed face, sweating, rapid heart rate and feeling uncomfortable.  Just a reminder that you may need to cut your visit short if your loved one is uncomfortable in the heat.  Please let us know if this is the case and we will assist you.

Dear St. Paul Hermitage Families,

 

Today we began our outdoor family visitation again.  Our Health Care residents enjoyed time outdoors.  I am grateful for Sr. Susan Marie’s decorating of our outdoor space to help us celebrate Independence Day this weekend.  Our residents enjoyed their time outside you with you.  We look forward to a weekend full of family visitation.  

 

As with any new guidance we implement from ISDH, we will have reminders and updates.  I am attaching our policy and procedure for each family to review again.  We will continue to work with staff on our end to make sure we smooth out our rough edges.  I know there were some delays in getting residents out quickly once you arrived.  We are working on shifting some tasks around for our nursing staff members so that they too are free to assist with transportation outdoors.  Each day we will have someone from our management team available to assist with any glitches.  That individual will be wearing a yellow vest and have a walkie talkie in hand. 

 

I have been receiving a growing number of requests for visitation times outside our scheduled times and days.  We are trying to be very generous with the amount of visitation that we are offering.  In Marion County, we are only allowed to have outdoor visitation due to the spike in COVID cases in our local area, our Mayor has said that we can only provide outdoor visitation.   ISDH confirmed this during an afternoon webinar with Matt Foster and Brenda Broucher who are the head of the long-term care division of ISDH.  All visitation requires staff supervision.  For this reason, we have set up times that include afternoons, evenings, and weekends.  To set up individual family times is not possible at this time.  I know this is disappointing.

For a fun twist for your daily water intake try infusing a pitcher of water with fruit or use fruit infused ice cubes to add a bit of flavor. We will provide hydration stations to help keep everyone hydrated.

·       Dress For The Weather — Try to wear clothing that is made of natural, breathable fabrics like cotton, in more of a loose fit and in light colors that will help reflect the sun.  We will be making sure that your loved ones are dressed appropriately for the weather.

·       Wear Sunscreen — Whenever you are outdoors be sure to protect your skin with sunscreen with an SPF of at least 30.  

·       Watch for signs of Overheating- flushed face, sweating or complaints of being uncomfortable.  If your loved one is not comfortable, or seems to be overly hot, we will need to end the visit.

 

Our Infection Control Committee met today.  We have come up with a timeline for reopening some services.  In the coming days, I will be attaching policies and procedures.
